Event Planning & Management

Business Services provides important guidance for planning a UW event, including contract signature requirements, meal budgets, catering, and event spaces on campus. Review the campus policy for official functions and expenses early on to determine if pre-approval for your event is required before any money may be spent on your event. The official functions guidance matrix is also helpful. The pre-approval form is available online and should be submitted to CoE Business Services for review/approval.

Department & Lab Websites

To create a website for a specific research lab or facility, your options are:

WiscWeb – your source for WordPress websites that are easy-to-use and update on your own.

DoIT Web Hosting – a paid option for more application-centric websites with basic HTML or PHP scripting web hosting.

Campus Cloud Infrastructure – a paid option for secure, self-service private cloud virtual server hosting.

UW-Madison CEE/GLE Swag

Going to an event or conference? Hosting a speaker in class or looking for a small thank you gift? The Department is happy to provide branded swag for a variety of needs. Contact Amanda Thuss to learn more.

Updating Your Online Profile

You can update your online profile at any time by clicking “Update Profile” in the lower right corner of your profile page and logging in with your NetID and password. Contact Amanda Thuss for assistance.

Business Cards

To order business cards, contact the front desk (2205 E Hall) with the following information: name, title, address, phone, email, office number, and any other info (website, etc.) you wish to have included.

CAE Account Access

College of Engineering employees have access to a Computer-Aided Engineering (CAE) account, which is different than those available with a NetID. Your CAE account provides access to engineering-specific computer labs and software.

Helpful CAE links include activating your CAE account and recovering your username and password. For technical questions, contact the CAE help desk.

No-fee Software

UW-Madison Information Technology provides faculty, staff, and students with access to a variety of software packages at no cost through the Campus Software Library.

Computing as a Graduate Student

Conference Rooms

CEE has two conference rooms in Engineering Hall (EH), Room 2227 and Room 2342. Reservations for these rooms and others on the Engineering campus, are made online through the EMS System by logging in with your NetID and password.

To place a reservation, select Create a Reservation, then select Request Engr Meeting Space, and complete all necessary information (date, time, room, faculty member associated with the request). You will receive a confirmation email once your request is approved. If you have questions, contact the CEE front desk (2205 E Hall).

The Water Science and Engineering Laboratory has a conference room that may also be reserved. To reserve this space, contact Justin Bozza or James Lazarcik.

Classrooms

To request a classroom space, complete and submit the reservation request form. You must submit this form at least 3 business days in advance.

Door Name Plates

For updates to the name plate on an office or lab door, please contact Amanda Thuss.

Maintenance

For maintenance needs, contact the CEE front desk (2205 E Hall) with the location and a description of the issue. In the event of an emergency, call Facilities Planning & Management at 608.263.3333.

Teaching & Office Supplies

The department keeps an assortment of commonly used office and teaching supplies such as white board markers, paper, pens, etc. for faculty and staff use. Contact the front desk (2205 E Hall) for access to these materials.

Keys & Building Access

UW-Madison engineering faculty, staff and students are automatically granted building access via their Wiscards. If you have access issues, contact the front office (room 2205 E Hall).  Students must be actively enrolled in engineering courses during the current semester for building access and activation of that access may take up to 48 hours after course enrollment. Several rooms in Engineering Hall are also accessed via your Wiscard. Faculty can request additional access on their cards by contacting the front office.

Parking & Transportation

How to Buy Goods & Services

Complete details on how to purchase goods and services for the University are found online and commonly used links are noted below. For questions or assistance with purchasing, contact Alicia Henning (CEE financial specialist) or Justin Bozza (WSEL financial specialist).

Tax Exemption

The University is tax exempt, so all purchases should be tax free. You may view and/or print UW’s tax-exempt documents with your NetID and password.

ShopUW+

Order lab, facility, and office supplies through ShopUW+ if available.

Purchases Under $5,000

If the estimated cost of the item(s) needed is less than $5,000, complete the form that applies to your team: CEE purchasing or WSEL purchasing.

Large Purchases (over $5,000)

Purchases over $5,000 and up to $50,000 that are not available through ShopUW+ or a purchasing contract go through the simplified bidding process. For help with this process, contact Alicia Henning (CEE financial specialist) or Justin Bozza (WSEL financial specialist). Please note: this process can take time, so plan accordingly and initiate the process early.

Purchasing Credit Cards

The Department has credit cards for purchasing items/services that are not available through ShopUW+. To use a purchasing card, contact Alicia Henning (CEE financial specialist) or Justin Bozza (WSEL financial specialist).

Shipping & Mailing

The CEE Department has a UPS shipping account that provides discounted shipping both domestically and internationally. Contact the CEE front desk to start a shipment.

USPS mailing is also available and postage labels are located in the CEE mailroom. Contact the front desk for assistance with USPS mailing.

University guidance must be followed to purchase or be reimbursed for travel. If you are going to travel, it is your responsibility to understand and comply with UW’s travel policies and procedures.

Airfare

Travel, Inc. is the University’s contracted travel agency, and airfare must be booked through Concur, their online portal. Learn more about Concur and how to book a trip, and please be mindful of airfare cost comparison guidelines. Lodging

Lodging should be reserved through Concur or an agent at Travel, Inc. You may choose to book directly with a lodging facility or AirBnB, but you must follow purchasing policy. Use of third-party booking sites (Expedia, Travelocity, etc.) is prohibited. The University follows federal lodging per diems. Fleet Vehicles

You must be an authorized driver to claim mileage or parking, rent a car, or operate a university fleet vehicle. For assistance, contact Alicia Henning (CEE financial specialist) or Justin Bozza (WSEL financial specialist).

Reimbursement for Meals & Incidentals while Traveling

Travelers are reimbursed for meal and incidental expenses (M&IE) while in travel status requiring an overnight stay. M&IE are reimbursed on a per diem basis; travelers are not reimbursed for actual costs. Travelers cannot claim M&IE for other travelers. Receipts must be kept and submitted, along with an expense report, within 90 days of travel.
