Engineering Student Organization Support & Policies

UW & CoE Student Org Eligibility
Engineering Affiliated Student Organizations may register with the College of Engineering (CoE) with the following requirements:
- a mission focused on the profession of engineering
- membership in which 75% of the students involved are enrolled in the College of Engineering;
- identify and register an advisor (faculty or staff) employed by the CoE.
All UW-Madison student organizations must register with the Center for Leadership and Involvement (CfLI) in order to use University facilities or the name of the University. To be eligible for registration, your student group must:
- Be a not-for-profit, formalized group.
- Be composed of at least 75% UW-Madison students.
- Be controlled and directed by UW-Madison students.
- Be related to student life on campus.
- Abide by federal, state, city and university laws and policies, including the nondiscrimination policy
- Identify a UW-Madison student as a primary contact person for the organization and provide the Center for Leadership and Involvement with the information required for registration, including organizational operating procedures.
- Identify a UW-Madison student contact person who is authorized to represent the student organization in their financial matters.
- Identify a UW-Madison student contact person who is authorized to assist with accessibility requests.
- Abide by financial and all other regulations specified in the Student Organization Policy Code of Conduct.
UW & CoE Student Org Registration
- All UW-Madison student organizations are required to register with the Center for Leadership and Involvement (CfLI) to be recognized as an official campus organization.
- Please refer to CfLI’s Registration 101 to ensure you have all the information required to begin the registration process.
- Student organization registration for both CfLI and CoE is handled through the Wisconsin Involvement Network (WIN) at win.wisc.edu.
Registration with the College of Engineering (CoE) may be an option if your organization meets certain eligibility requirements as outlined in the eligibility drop-down).

- Engineering Student Org Orientation (once per semester) Fall (9/8), Spring (TBD)
- Engineering a Sense of Belonging (10/20)
- One check-in meeting scheduled with Olivia Lemke, Student Organizations & Engagement Manager (oklemke@wisc.edu)
- Turn in rosters (membership lists) twice a year – template linked here
- Due Dec 31st and May 24th
Advertising and Marketing
Opportunities for Advertisement
- Fill out this form for your event to appear in the This Week in CoE weekly newsletter.
- Email Kelsey Gockenbach (gockenbach@wisc.edu) for your event to appear on the Engineering Hall lobby TV or CAE monitor screens (size 16:9).
Marketing Reminders
- You must follow naming guidelines as indicated on the CfLI website.
- You cannot use University logos, symbols and marks on promotional materials and websites unless you have prior approval from the UW Office of Trademark Licensing.
- Use of UW logos on collaborative events are OK. Check with that department first.
- UW or UW-Madison must come after your org name.
Risk Management
Includes policies such as: Student Org Alcohol Policy, Copyright Laws, Insurance, Waivers
Event Restrictions/Reminders:
- Movie nights: Need to have a license due to copyright laws
- Hosting Conferences:
- Students cannot sign a university contract
- Option to buy special event insurance

Liability & Negligence
- The University and CoE are not responsible for org decisions.
- You are guests at the University.
- On or off campus as a student org, you are under UW code of conduct.
Traveling
- You and your organization are personally liable.
- Recommend to have everyone traveling to sign a waiver.
- Whenever hosting an event or traveling that is organized by your group, you are still under UW code of conduct.
Student Org Table Talks - Year-Round Recruitment!
Engineering Org Table Talks aim to provide a casual way for new students to meet with leaders from your organization.
Signing up for an Engineering Org Table Talk slot will give you access to:
- A reserved table in the Engineering Student Center (1150 EH)
- A sign with your org name
- Snacks for your table
- Digital promo materials
- You are encouraged to bring your trifold + any handouts/flyers.
Campus Student Org Grants
College of Engineering & Department Grants
Apply during one of the two application periods for 2025-26:

Fall: August 25th (open) – September 21st (close)

Spring: January 12th (open) – February 8th (close)
Associated Students of Madison Grants
- Travel and Event Grants — Apply six weeks in advance for all requests.
- Operations Grants — Applications are available in December for the following school year to help cover printing, office supplies, postage, etc.
- Open Fund — Grants of up to $200 per group available until March 1st or until the money runs out
Global Badger Experience Grant
- What is funded: Food, on-campus printing, advertising costs, space reservation fees, equipment rental, movie license fees, program supplies, transportation and accommodations for performers, guest speakers, trainer, and honoraria
- If an event is cohosted by two or more RSOs, the maximum total amount of GBE Grant funding for that event will be $2,000
- Multicultural/diversity program co-sponsorship
- Must apply 60 days in advance for all requests over $2,500; 30 days in advance for grants under $2,500
- This grant funding can be used for food.
- Space/Room rental in Rec Well facilities
- Equipment rental
- A/V use and rental
Wisconsin Union Directorate Grants
- Funding for costs associated with late night events on campus, Thursday through Saturday from 9 p.m.–2 a.m.
- Co-sponsorship of committee-related campus events
- Co-sponsorship for educational events on campus that support a welcoming and inclusive campus climate, up to $2000 per group/per year
- No financial support for student travel
- This grant funding can be used for food
Wisconsin Alumni Association Student Organization Grants
- Support for non-alcoholic events on campus
- Must foster diversity/inclusion on campus and include alumni component
Morgridge Center for Public Service Grants
- Small grants (up to $200) for local service projects or Alternative Breaks
University Health Services Grants
- $50-500 for collaboration between two or more registered student organizations
- Events fostering diversity/inclusion are encouraged.
- Support to host a distinguished lecture on campus
- Can only apply with departmental sponsorship

If your organization plans to collect resumes from your members as part of an industry sponsorship package, please be aware that resumes often contain protected student information. To avoid being personally liable, each student submitting a resume must agree to a FERPA release. Suggested language to use in your resume collection process is below:
